Whether it’s a wedding, a party or a conference, a well-kept guest list is the backbone of every other plan — catering, seating, badges and budget all depend on it.
1. Keep one master list
Choose a single place for your guest list and keep it up to date. Multiple copies in different places quickly fall out of sync.
2. Record the details you’ll need later
Full name and contact information
Who they are bringing (plus-ones, children)
RSVP status
Meal choice and dietary needs
Accessibility needs
Table, badge type or group, if relevant
3. Set a clear RSVP deadline
Give guests a firm date that leaves you enough time for final catering counts and seating. Make responding easy — one link or one reply.
4. Follow up on missing responses
A few days after the deadline, contact everyone who hasn’t responded. A short, friendly reminder usually does it.
5. Lock the numbers and share them
Once responses are in, send final counts and meal choices to your venue and caterer by their deadline.
6. Plan check-in for the day
Decide how guests will be checked in — a printed list, a name-badge table or a phone app — and who is responsible for it. Have a plan for walk-ins and name misspellings.
